1. Who we are
Spottail is operated by SpotTail Infotech Private Limited (CIN: U58200TS2026PTC216995), a company incorporated under the Companies Act, 2013 on 26 May 2026, with its registered office at Flat 406, Block-3, CBR Estates, Madinaguda, Miyapur, Tirumalagiri, Hyderabad – 500049, Telangana, India (“Spottail,” “we,” “us,” “our”).
We built Spottail to help pet parents find companions for their pets nearby. This policy explains what personal data we collect, why we collect it, how we protect it, and the rights and controls you have over it.
This document is an electronic record under the Information Technology Act, 2000, and is published in compliance with the Digital Personal Data Protection Act, 2023 (“DPDP Act”) and the rules made under it, and Rule 3(1) of the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021.
For the purposes of the DPDP Act, SpotTail Infotech Private Limited is the Data Fiduciary, and you are the Data Principal.
2. Information we collect
Account information. Your name, email address (verified), phone number (verified by OTP), date of birth (to confirm you are 18 or older), gender, a short bio, and one or two photos of yourself.
Pet information. Your pet’s name, type, breed, date of birth, colour, sex, photos, temperament details, and a short description. Vaccination documents you choose to upload for verification (image or PDF).
Location. Approximate location, used to show nearby pet companions within a search radius you control (1–100 km). We convert your location into a coarse area code (a “geohash”) for discovery. We do not store your precise GPS coordinates or track your continuous movements. Other users see approximate distance, never your exact position.
Messages. Text messages you send through in-app chat with other pet parents. Chat on Spottail is text-only.
Payment information. Spottail is currently free and collects no payments. If we introduce paid features in the future, payments will be processed by the Google Play or Apple App Store in-app billing systems — Spottail will never see or store your card number, UPI PIN, or banking credentials — and we will update this policy before any payment feature goes live.
Device and usage data. App interactions, device model and OS version, crash logs, push-notification token, and performance data — collected to keep the app working reliably and to detect abuse. Phone numbers and email addresses are hashed in our system logs and are never written to logs in plain text.
Consent records. When you accept this policy or our Terms of Service, we record the document version and timestamp of your acceptance, so both you and we have an auditable record of exactly what you agreed to and when.
3. Why we collect it (purposes)
We process your personal data only for the following purposes:
- To show you relevant, nearby companions for your pet.
- To verify accounts (email, phone) and review vaccination documents, for the safety of the community (see Section 5 on what vaccination verification does and does not mean).
- To enable messaging between pet parents.
- To detect and prevent abuse, fraud, spam, and violations of our Terms of Service, and to act on user reports.
- To notify you about your account, safety matters, and material changes to our terms or this policy.
We do not use your data for any purpose beyond these without obtaining your separate consent first.
4. Legal basis
We process your personal data on the basis of your consent under Section 6 of the DPDP Act, obtained when you create your account, and for certain legitimate uses permitted under Section 7 (for example, complying with law, or responding to a medical emergency). You may withdraw your consent at any time (Section 11), and withdrawing consent will be as easy as giving it was.
5. Vaccination documents — what “Verified” means
Vaccination documents you upload are reviewed by our team, who check that the document appears genuine and matches the pet profile. A “Verified” badge means our team reviewed the document you submitted — it is not a veterinary certification, a guarantee of the pet’s current health, or a substitute for your own judgment when meeting other pets. Vaccination documents are stored privately and are never shown to other users; only the resulting badge is visible.
6. Cookies, SDKs, and tracking technologies
In the app: we use software development kits (SDKs) from our infrastructure providers (Firebase for authentication, database, crash reporting, and analytics; Google Maps for location features) that use device identifiers to function. These are functional and analytical in nature.
On www.spottail.in: our website uses Google Analytics to understand site traffic and improve the site, along with essential cookies required for the site to function. You can manage cookies through your browser settings; disabling them may affect parts of the site.
We do not use advertising cookies or ad-tracking identifiers anywhere — the app and website carry no third-party ads, at any stage, and we do not permit third-party access to your data for marketing purposes.
7. Who we share it with
We do not sell or rent your personal data. Ever. We share it only with:
(a) Other users. Your pet’s profile (name, photos, breed, temperament, approximate distance) and your first name are visible to other users — that is how discovery works. Your email, phone number, date of birth, precise location, and vaccination documents are never shown to other users.
(b) Service providers (Data Processors). Companies that process data on our instructions to run Spottail, bound by contract to confidentiality and to processing only on our instructions:
- Google (Firebase — cloud hosting, authentication, database, crash reporting, analytics; Google Maps — location services; Google Analytics — website analytics; Google Play — app distribution)
- Apple (App Store — app distribution)
If we introduce paid features, the relevant billing processors will be added to this list before those features go live.
(c) Legal compliance and safety. Law enforcement, courts, or regulators where legally required, or where necessary to protect the safety of users or the public, prevent fraud, or enforce our Terms of Service.
(d) Business transfers. If Spottail is ever acquired, merged, or restructured, your data may transfer as part of that transaction, subject to the same protections in this policy. We will notify you before your data becomes subject to a different privacy policy.
8. Your photos stay in the app
Photos and content you upload are shown only inside the app, to the users your settings allow. We do not use your or your pet’s photos in our marketing, social media, or advertising. Your pictures are yours, and they stay where you put them.
9. Where your data lives
Your data is stored on servers located in Mumbai, India (Google Cloud region asia-south1). Personal data of Indian users stays in India.
10. Security
We implement industry-standard technical and organisational measures to protect your data against unauthorised access, alteration, disclosure, or destruction, including: encryption of data in transit and at rest, server-side access controls (no client device can grant itself elevated access), app-integrity attestation to block tampered clients, hashing of phone numbers and email addresses in logs, and strict separation of production data from testing environments.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You can help by using a strong, unique password and by not sharing your login credentials or personal contact details with people you have not met.
Breach notification. In the event of a personal data breach affecting you, we will inform you without undue delay and notify the Data Protection Board of India within the timelines prescribed under the DPDP Rules, along with the steps we are taking.
11. Your rights
Under the DPDP Act, you have the right to:
- Access — obtain a summary of the personal data we hold about you and how it has been processed.
- Correction and erasure — correct inaccurate or incomplete data, and request erasure of your data.
- Withdraw consent — at any time, with the same ease as you gave it. If you withdraw consent, we will stop the related processing; features that depend on it may stop working.
- Grievance redressal — raise a complaint with our Grievance Officer (Section 14) and, if unresolved, escalate to the Data Protection Board of India.
- Nominate — nominate another individual who may exercise your rights in the event of your death or incapacity. To register a nomination, contact us at contact@spottail.in.
To exercise any right: use your in-app account settings where available (profile edits, location controls, account deletion), or write to contact@spottail.in. We will verify your identity before acting on a request.
Account deletion is available directly in the app (Profile → Settings → Delete account) and via our web deletion page at spottail.in/delete-account, without needing to reinstall the app.
12. How long we keep it
We keep personal data only as long as needed for the purposes above, then delete or anonymise it.
When you delete your account, your pets, photos, chats, saved lists, and profile are permanently erased; we retain only what the law requires and anonymised aggregate statistics that can no longer identify you.
13. Children
Spottail is intended for users aged 18 and over. Our onboarding enforces a date-of-birth gate. We do not knowingly collect personal data from anyone under 18; if we learn we have, we will delete it.
14. Grievance Officer

We will acknowledge your complaint within 24 hours and resolve it within 15 days of receipt. Complaints relating to certain categories of unlawful content (as specified under the 2021 Rules) are acted upon within 72 hours.
15. Changes to this policy
We version this policy. When it changes materially, we update the effective date, notify you in-app, and ask you to review and re-accept before continuing to use Spottail. Your acceptance of each version is recorded (Section 2, Consent records).
